Quotes and approvals

From preparing a quote to a signed acceptance

The sales side lives in the same panel. Quote items come from a catalogue, amounts above the threshold are approved internally, and the customer signs without creating an account.

What it does

Four pieces from quote to acceptance

Every step leaves a record, and the accepted version cannot be altered afterwards.

Contact book

Prospective sites, managers and decision makers are kept in one book. The quote is attached to those records, and when the project is opened later the details carry over.

  • Prospective site and contact records
  • Conversation history
  • Quote-to-project link

Item catalogue

Frequently used service and hardware items live in a catalogue and are picked from a list when a quote is prepared. Prices and descriptions are updated in one place.

  • Service and hardware items
  • Unit price and description
  • Free-text items on the quote

Approval threshold per currency

Quotes above a defined amount go to internal approval before they are sent. The threshold is set separately for each currency.

  • Above-threshold quotes go to approval
  • Approving user and time recorded
  • Unapproved quotes cannot be sent

The customer signs without an account

The quote reaches the customer through a link. They view it without registering, accept it and leave a signature image.

  • Viewing without an account
  • Signature image and timestamp
  • The accepted version is locked

Flow

From prospect to signature

  1. The prospective site and its contact are added to the book.

  2. Quote items are picked from the catalogue; free-text items are added if needed.

  3. If the total exceeds the approval threshold, the quote goes to internal approval.

  4. Once approved, the quote is sent to the customer through a link.

  5. The customer views it without an account, accepts and signs.

  6. The accepted quote is locked; when the project opens, the details carry over.
